Office Policies and Procedures
Cy-Fair Speech, LLC provides a model of care that allows our clients to maximize their potential for progress. Our therapy policies allow us to serve each client by reserving weekly appointments and accommodating the need or request for additional therapy.
Attendance
Consistent attendance contributes to effective progress. We expect an attendance rate of at least 85%. Abuse of this policy may subject you to an additional charge and/or discontinuation of services. If you fall delinquent in your scheduled appointments or fail to schedule make-up sessions, you risk being placed back on the waitlist.
Cancelled Appointments
A notice of 24 hours is required for any cancelled appointment. Except under emergency circumstances and acute illness, failure to provide 24-hours' notice will result in a $50.00 cancellation fee charged to your account. We consider the following to be examples of NON-EMERGENCY cancellations: vacations, conflicting doctor appointments, family events, parties, recreational activities, after-school activities, lack of babysitter, car trouble, traffic, holiday weekends, school holidays, days preceding or following holidays, scheduling conflicts, and sibling illnesses. This penalty must be paid by in full no later than your next appointment. Clients will not be seen if no-show fees have not been paid.
No Show
Cy-Fair Speech, LLC spends time planning and preparing for each therapy session. Missed appointments without prior notice (either directly to the treating therapist or administrative staff) will be assessed a $75 penalty. This penalty must be paid by in full no later than the next appointment. Clients will not be seen if no-show fees have not been paid.
Late Arrivals
The therapist allots a certain amount of time for each session. If you are late for your scheduled appointment, you will be charged the full rate and time, regardless of how much therapy is done in the session.
Office Closings
Cy-Fair Speech, LLC does not follow any school weather or holiday closing policies unless otherwise communicated. If we need to reschedule, we will provide ample notice.
Make-Up Sessions
We encourage our clients to reschedule cancelled appointments to ensure consistent service delivery. Cy-Fair Speech, LLC will work with you to reschedule cancelled appointments for planned holidays, vacations, extracurricular events, etc.
Termination
In the event your financial obligations to Cy-Fair Speech, LLC are not met and remain delinquent on the account for more than two sessions, services will be suspended until payment is received. Services may also be terminated if it is determined that continued participation will be a detriment to the child or their family. Due to the importance of continuity of care, regular attendance to appointments is necessary. If excessive appointments are missed and/or cancelled, Cy-Fair Speech, LLC reserves the right to discharge the client from services. Following suspension or termination of services, clients may be accepted back into therapy at the discretion of the therapist and subject to availability.
Health Polices
A child must be fever-free for 24 hours before returning to therapy. If your child has experienced vomiting and/or diarrhea, he/she should not return to therapy until 24 hours have passed since the last episode of the same.
If you have a sick or febrile family member, please let the therapist know in advance.
Clients will not be seen if any of the following is present: Too ill or uncomfortable to function in the therapy setting, continual runny nose; thick or discolored nasal discharge; excessive sneezing or coughing and mucus-producing cough; an elevated temperature.
